If you are concluding your affiliation with BML/UCD:

Termination of access: When a user ceases to be a member of the BML community or is assigned a new position and/or responsibilities within the University system, the user’s access authorization must be reviewed. Users must not use facilities, accounts, privileges or information for which they are not authorized in their new circumstances.

Before you leave BML please read and address the following concerns:

EMAIL (this applies to anyone terminating their affiliation with BML and UCD, in other words this does not apply to you if you are just moving to campus and will remain a visiting student/faculty/researcher at BML)

As the end date for your position is entered in the payroll system, it will then update the computing account database to begin the closing process.

Once the closing process starts, you will have (students: 60 days, staff: 90 days, faculty: 180 days) a grace period before your computing (kerberos) account is closed. You will be notified via e-mail- at beginning of the last 30 days of your grace period- that your account will close in 30 days. NOTE: during this grace period you will not able to make any changes to your account, including setting up mail forwarding (redirecting) and automated "vacation" email messages (see below), so you will want to set those services up before the end date of your UCD/BML affiliation.

See http://emailforwarding.ucdavis.edu to direct your UCD email to another, non UCD, mail acct, you may also set up an "out-of-office" automated email that states your email address will be changing to whatever it will be, that way when you email acct is finally closed everyone who needs to reach you will know how to do so. Your email account will remain open for some time after your termination, a month or two, in most cases one month is a reasonable length of time to settle accounts. For more information see http://emailforwarding.ucdavis.edu.

We generally discourage the use of Temporary Affiliate Status as a method by which to extend your UCD/BML mail and Kerberos services, even for volunteers. In most cases you will not need Kerberos services (unless you must access UCD library services off site of BML/UCD).

COMPUTER HOUSEKEEPING (this applies to persons terminating their affiliation with BML, as well as those who are moving from BML to campus)

If you are using a computer that was supplied to your by your PI or BML, look through your data both on your machines AS WELL AS on the BML file servers you utilize, and make sure that you have distributed your data to the people who need to inherit it, and ensure they know where it is. Finally, remove your data from our shared resources. There are cd and dvd burners in the computer lab if you need to archive your data to take with you.

Please plan on how you want to handle this before you leave.

Do not leave your data on the BML file servers, IT does not know what is importan to yout, cannot archive user data for posterity, and will end up removing it if it is left behind.

We aim to be reasonable and will attempt to negotiate alternatives for exceptions if they are absolutely necessary.
